    Medical Records Specialist/Scheduler



    Position Summary:                                                  

    The Medical Records Specialist/ Scheduler is responsible for obtaining, processing and safekeeping paper and electronic records/orders that are required to be submitted to medical physicians by the field staff and other internal and external customers. In addition, this position will be responsible for scheduling, updates and coordination of all staff cases and updates.


    • High school graduate with minimum of two (2) years of additional training in business or accounting. 
    • Prefer minimum of two (2) years of experience in health care billing, scheduling or collections, preferably in home care.
    • Demonstrates knowledge of, or ability to learn billing regulations for Medicare, Medicaid, and other insurance processing, billing terminology and coding. Knowledge of or ability to learn regulatory standards for home care specific to the reimbursement area.  Information system knowledge in the areas of electronic claim submission and date entry/report generation. 
    • Must be able to stay late or come in early on occasion (with time being flexed or otherwise compensated).
    • Excellent customer services skills and ability to form relationships with repeat internal and external customers.

    Responsibilities and Duties:

    • Proceeds and track physician orders and other documents to send for signature; enter information into tracking system when sent out and mail orders.
    • Receive documents from physicians, other care partners and internal customers and enter information into tracking system
    • Update and locate all address and phone numbers for physicians that have been incorrectly entered into our tracking system.
    • Track all physician orders and provide to liaison.
    • Follow up with physicians to confirm that all orders have been received on first mailing attempt. Continue to sent out orders until they have been received.
    • Update all data received into email format.
    • Audit charts for final bills.
    • Contact field staff and other internal customers for needed documentation and corrections.
    • Provide receptionist assistance as needed.
    • Ensure that the staff schedules have been completed for all cases and that necessary employees are scheduled for on-call weekend shifts.
    • Attend all morning call in meetings to provide frequency updates, chart reconciliations and physician corrections.
    • Attend weekly call with specific projects and medical centers that are currently open.
    • Provide unit set-up, daily monitoring, unit decommissioning, trouble shooting and equipment tracking for Telehealth.
    • Perform various HR Duties such as Pre-Employment paperwork and Orientation Paperwork for new hires.
    • Ensure tracking for weekly schedules, daily call-ins from clinicians are up to date and correct.
    • Perform other duties as assigned
